[anzac.conference] quick update and advice please

Dear all,
We have quite a few paper proposals from a good range of people in
Australia, New Zealand and the UK.
As you know we have extended the deadline for the proposals to the 19th
August to coincide with the August issue of Incite. Please publicise this to
your contacts. I am copying the email at the end of this message with the
new deadline.
The number of people who have been saying to us that they are keen to attend
is amazing.
The Turkish team has been very busy liaising with tour companies, hotels
etc. Hilmi Celik who is the leader of the Turkish team (Director of Sabanci
University Information Centre rang me from Turkey two days ago to ask our
views on the prices, hotels and arrangements for the dawn Service.
Apparently, they are having a hard time trying to get commitment for hotel
rooms for the dates we want. The Australian Embassy has booked most rooms.
The additional complications are:
1. Very hard to get single rooms (they would be excessively expensive);
people would have to share!!!!
2. The hotels or tour companies are not prepared to commit as they are
waiting to make a killing at the time
3. Even if we got shared rooms, they would still be quite expensive
4. They have so far 35 rooms, and trying 50 rooms
He is also saying that the bus trip to the dawn service involves getting off
the buses and walking for about 2 hours to get to the service area. Everyone
will have to find their way to and fro.
He is suggesting that maybe we take the dawn service out (people can make
their own arrangements if they want to attend) and start the conference the
day after. This will help with the availability of hotel rooms and the
prices.
His suggestion is maybe we start the conference on the 26th and go till
28th.The whole thing will be much cheaper. The hotel room prices will come
down to the quarter of the price quoted.
Alex and I discussed the above.
We thought perhaps (if that is OK with everyone) we should include the Dawn
Service as part of the pre-conference tours. Those who want to attend the
Dawn Service, perhaps they can book separately. We will ask the Turkish team
to reserve rooms separately for the Conference at the cheaper price. We
could start the conference about lunch time on Wednesday so those not
attending the conference can travel in the morning of Wednesday from
Istanbul or wherever, because the hotels may be scarce and expensive on the
Tuesday night as well.
However, those of us who want to attend the dawn service could choose and
pay separately for this as a pre-conference tour. We would still mention it
in the program.
One idea Alex had was, what about giving those attending the Dawn service a
light wind cheater type jacket with distinctive colour and the Conference
details so that people can be easily identified when they cross the
Dardenelles and when walking to the area where service is (Hilmi tells me it
is a 2 hour walk).
The other idea was, maybe we don't need to stay in a hotel overnight, as we
have to get on the buses at 1am. We can just have dinner and then sit around
until we go to the Dawn service.
Hilmi is going on holidays on Thursday so I will call him tomorrow night to
explore all this. I am cc'ing this to him so he knows our thinking.
