Welcome to the brief weekly update from the RSS Infoline, an
accompaniment to the
Student Administrator Practitioners Guide

Department updates


Enrolments

*	It seems that some international students have been receiving
some incorrect advice regarding their Enrolment Variation Forms.
Recently the International Office was inundated with international
students with variation forms claiming they had been instructed to see
the Student Advisor before submitting their form.  Unfortunately, I'm
not sure from who or where this advice has come.  International students
do not need to seek advice or approval from the International Office
before submitting an enrolment variation.  As part of the normal
business process, all international variation requests are assessed by
OPAR before being processed.  If a student is deemed by OPAR to need
advice from the International Office, OPAR will forward the student
details.  This does not mean that Colleges can't suggest students see
the advisor in the International Office, just that it is not a
necessity.  

 

Scholarships and Prizes

Higher Degree Research Scholarships

*	In consultation with the Colleges through the HDR Scholarships
working group, 2009 EIPRS process and guidelines have now been
finalised. 

*	The 2009 round of EIPRS scholarship have now closed and Colleges
are now receiving applications. Date for the finalisation of selection
is Mid October with applicants being notified as soon as possible after
this date

*	Next HDR working group meeting discussion will focus on the
review and finalisation of the 2009 APA process and timelines. The
closing date for the APA round is 31 October

Undergraduate Scholarships
Significant changes have been made to the ANU centrally funded merit
based undergraduate scholarships (NUS etc). The National Undergraduate
Scholarships and National Merit Scholarships (formally named the
National Achievement Scholarship) no longer have an application process.
An outline is as follows:

National Undergraduate Scholarships

*	The value is now $12,500 per year for the entire degree and and
eligible students who achieve a UAI of 99.9 will automatically be
awarded this scholarship.
*	National Merit Scholarship: The value is now $6,500 per year for
up to four years and eligible students who achieve a UAI of 99.5 up to
99.89 will automatically be awarded this scholarship.
*	National Region Scholarship: The value is now $6,500 per year
for up to four years and still has an application process. On-line
applications are now open with a closing date of 31 October.

*	The web-site has been up-dated, flyers produced for Open Day and
information is being emailed out to school Careers Advisers.

*	Additional Commonwealth Accommodation and sixteen Commonwealth
Education Costs Scholarships were recently allocated to the ANU. These
were advertised across the ANU and 26 applications were received.
Applicants will be notified of the outcome by the end of the week.

New Scholarships and Prizes
The following scholarships and Prizes have been established and approved
by the University Awards Committee:

*	Plant Science Scholarship
*	ACTEW Honours Scholarship
*	ANU Australian Foundation for Mental Health Research(AFFIRM) PhD
Scholarship 2008
*	NSW Parks and Wildlife Service (NPWS) ANU Glen Saneki Alpine
Scholarship 2008
*	Corcas Prize in memory of Sean Corcoran 
*	Robert Hill Memorial Prize 
*	Shahpar Rad Prize in Persian

 

Fees

*	There were no Commonwealth Supported students to cancel in
semester two and there were only 6 Domestic Tuition Fees students
cancelled. We are still to finalise the numbers of International
students as they have till Wednesday the 10 September.
*	The Commonwealth Supported Notices (eCAN) will be run on the 22
September for semester two.
*	As from the 1 October ALL invoices will then be available
through ISIS as a download. We will no longer be sending invoices via
email. Students will be able to download them from ISIS. Once the
invoice has been created an email will be sent to students to let them
know that the invoice is available.
*	Students will also be able to download their own receipts
through ISIS from the 1 October 2008.

 

Timetabling

*	Semester 2 2008 Draft Examination Timetable is available for
comment from 15-26 Sept 2008. The Final Semester 2 2008 Examination
Timetable available from 3 October 2008.
*	2009 Class Timetable Information online collection sheets will
be open from Sept 15 - October 15 2008
(http://timetable.anu.edu.au/class/default.asp?intYear=2008). The
Semester 1 2009 draft will be available early December, with opportunity
to add/amend prior to 16th January 2009.

 

Graduations

*	For those of you who are dealing with students in the lead up to
December Graduations Potential Graduands have now been identified
(students can check their graduation status via ISIS). Students will
receive graduation invitations from mid October, and will need to
respond to their invitations by the 14th November.

 

Advancement Project - Go Live 30 September 

The advancement of the ESPHR and Student 21 systems to a new internet
based application is nearing completion. The new system will be called
the Human Resources and Student Administration System and includes new
functionality and a new internet browser based interface intended to be
easier to use. Staff members will use their current login credentials to
access the new system. The new system will be available to
administrative staff that currently have access to ESPHR or Student 21
on Tuesday, 30th of September 2009. 

In addition to changes to the administrative system, HORUS and ISIS have
undergone some changes as well. While their names have stayed the same,
they both include new functionality for staff and students. Staff
members logging in from campus will be able to see HORUS functionality
(and ISIS if they are a student) in conjunction with core administrative
functions. If a staff member logs on from off campus, they will be
unable to access administrative functionality but can still view and
access HORUS and ISIS functionality. HORUS and ISIS can still be
accessed from home through the URLs http://horus.anu.edu.au
<http://horus.anu.edu.au/>  and http://isis.anu.edu.au
<http://isis.anu.edu.au/> , however will no longer be accessible through
ANUBIS. 

In order to prepare for the release of the new systems, ESPHR, Student
21, HORUS, and ISIS will be available in view only access from close of
business Thursday, 25 September 2008 to Tuesday, 30 September 2008 at
8:30 am. This allows the conversion of data to occur without any
transactional changes. Users with access to any of these systems can
view data to assist in the completion of daily activities, but no
transactions will be allowed during this period.

Student administration courses are being offered in September and
October in the following areas:

*	Admissions
*	Enrolments, Records, and Research
*	Graduations
*	Student Fees
*	Colleges
*	Communication Generation
*	Drop in Sessions (after go live)

All courses for September and the beginning of October have been
scheduled and are available for enrolment through the training
application in ANUBIS, https://anubis.anu.edu.au/login.asp  These
sessions have the training code SAAD.  Additional courses and drop in
sessions will be added as required throughout September and October to
ensure staff are prepared for the release and support of the system once
it is live.
