[RSSInfoline] Update on the Advancement of the HR & Student Adminsystems

Dear Mark,
 
I have entered some of our international applicants into the old version
of S21 and will enter some domestics this thursday.
 
When the conversion is complete, will I be able to access applications
entered this week next Tuesday or will the systems run parallel or
concurrently for a time?

	Dear All 

	As you aware we are in the last week before the upgraded HR &
Student Administration System is launched.  Training for the System has
been undertaken last week and this week.  Below is a timeline of what
activities will occur over the coming days and preparation tasks that
need to happen prior to the switch over:

	Processing Activities this Week 
	While all transactions conducted in Student21 up until 5pm on
Thursday 26 September will be converted to the new system we need to
ensure a few processes/transactions are completed by this time...

	*	Please ensure that all admissions letter production is
completed by 5pm on Thursday. If you intend to make or decline an offer
for an applicant prior to next week you need to have generated the
letter after inserting the Program Action in Student21. As we are moving
to the new Communication Generation tool in the Advanced System
partially completed transactions will not be able to be converted.  Once
the new system is up and running all admissions communications will be
generated by the new CommGen tool 
	*	Please ensure that you have completed any updates to
Potential Graduand records by 12pm on Thursday. This will allow reports
to be run for the next stage of Graduation processing prior to 5pm 
	*	The last refresh of Study at ANU course and program
information will occur on Thursday night.  Study at ANU will not be
refreshed again until after the upgraded system is live 
	*	Any reports you think you might need for work on Friday
or Monday please run by 5pm on Thursday 
		

	ESPHR & Student21 System Shut Down 
	For us to successfully convert across from ESPHR and Student21
to the new HR and Student Administration System both applications, as
well as ISIS and HORUS, will be taken offline after 5pm on Thursday 25
September.  All of the applications will be available for view only on
Friday 26 (from approximately 11am) and Monday 29 September to help with
enquiries but no transactions will be able to be undertaken during this
time.

	Go Live Day 
	On Tuesday 30 September the upgraded System, as well as ISIS and
HORUS will be available from 9am! You will receive an email notifying
you of the URL address to log into. The URL address will also be posted
on the DR&SS website. ISIS and HORUS will be available from the existing
URL addresses ISIS.anu.edu.au and HORUS.anu.edu.au

	Post Go Live Support 
	SBS will be endeavouring to provide system support to all staff
and students that use the administrative system and ISIS. The normal
means of requesting support continue to be available though the SBS Help
Desk on  Ext: 55467, or email SBS.Help at anu.edu.au, or logging a request
through the DOI Help Desk at https://doihelpdesk.anu.edu.au
<https://doihelpdesk.anu.edu.au> , however, the SBS team will also be
conducting the following:

	*	An SBS staff member will be visiting each College during
the first and second week of Go Live to assist College staff with
logging in, updating their settings and to answer any queries.  I will
be sending out a roster of when an SBS staff member will be in your
College before the end of the week.  Please take advantage of their time
in your area! If you can hold questions or requests for assistance for
these staff members it will allow SBS Help Desk to better manage the
queries that will be forthcoming from our students 
	*	As well as these College visits, Drop-in Sessions will
be held in the second week of Go Live to give users a chance for more
dedicated assistance with the new system.  These sessions are scheduled
and you need to register for them through the Training application as
you would for any training sessions.  The first two Drop-in Sessions are
scheduled for 8 and 10 October 
	*	New Short Guides have been developed to assist staff in
becoming familiar with particular aspects of the system. Each of the
guides are designed to assist you through a particular business
process/activity. These guides are available through the DOI Helpdesk.
Once you have logged in using your ID and HORUS password you can find
these guides under 'Find a Solution' and searching on the Topic 'Student
Admin System'  and Sub Topic 'Training' 
		

	Once the new system is operational SBS will be moving back to
our regular schedule of training sessions commencing 15 October.
