Advertisement Vacancy: Library and Museum Assistant (for national position only: Open for internally and externally)

The XGRR is recruiting a Library and Museum Assistant. This is a key role overseeing the daily operation of the Reading Room’s programmes and facilities.

The Libraray and Museum Assistant will assist the XGRR Operation Coordinator in implementing and reporting on annual event and marketing plans,supporting staff and local volunteers, oversee the daily operation at the library, museum, bookshop, Audiovisual and Bebeteka (children and the facilities at the XGRR).

The right person will have a degree in social science, HR, management, or relevant experience in managing staff and volunteers and excellent communication skills. We are looking for some one who is highly organized, able to work autonomously and implement plans effectively and efficiently. High developed inter-personal skills as well as a commitment to the philosophy and values of the XGRR are very essential.

About Xanana Gusmão Reading Room

The Xanana Gusmão Reading Room (XGRR) is a local nonprofit organization with the mission to develop and support a public library service to inform and educate all Timorese. The organisation has been operating since June 2000, founded by First Lady Kirsty Sword Gusmão. The organisation serves the communities need for information, knowledge, literature and education. The XGRR has played a key role in promoting life-long learning and a safe place where people can obtain information, knowledge, read and borrow books, and where the museum can provide information on Xanana and his struggle for independent Timor.



Our Vision: Creating the Reading Generation in Timor-Leste.

Our Mission: To provide dynamic spaces for all people to access information and resources to improve their lives.

Services Offered:

●     A library open to the public with membership and lending facilities, free public access Internet computers and multimedia facilities.

●      A museum with permanent and temporary exhibitions and multimedia display.

●     A Bookshop and Gift shop offering a selection of Alola Esperansa products, new books in English, Portuguese and Tetun and postcards.

●     Two meeting spaces for hire, the outdoor Uma Mahon space and the indoor Exhibition Room.

●     An online public access library catalogue available on the web listing all the holdings of the XGRR.

●     Programmes delivered in partnership with community, government and non-government organisations which include pre-school programs, high school and teacher training programs, school holiday events, literacy and special events and exhibitions.

●     Outreach services to other libraries in Dili and other municipalities



JOB DESCRIPTION

Library and Museum Assistant (Customer Service and Programming)

Position Overview/Job Purpose

●     To perform a range of librarian duties to ensure resources are catalogued, displayed, circulated, lent, shelved and archived appropriately

●     Assist users in finding and using resources, both hard copy and online

●     Take a lead role in providing an excellent customer experience across the library and the museum, including training staff and volunteers in customer service

●     Take a lead role in developing and delivering XGRR programmes.

Reports to: XGRR Operation Coordinator

Number of direct reports: Various student and local volunteers

1.      Library & Reading Room Duties


●     Monitor the library,Uma mahon,Audio vizual  and museum, ensuring facilities are in good order, talk to visitors and helping them with their enquiries.


•       Facilities are opened on time, clean and tidy.

•       Visitors are greeted professionally and their needs met.


●     Help users find books; assist users with their research for schoolwork, business, or personal interest; teach users how to access the museum, bookshop and library collections including online resources.


•       A pro-active approach is taken, rather than waiting for users to ask for help.


●     Use the automated library system to carry out circulation and cataloguing functions, in accordance with policies and procedures.


•       Resources are appropriately catalogued, filed and easy to retrieve, lending and membership services delivered.

•       Staff collaborate effectively in the maintenance of digital library system


●     Undertake administrative tasks, including using applications to create documents and spreadsheets and undertake inventories.


•       Inventories are accurate and up to date.

•       Maintain an accurate and up to date membership and lending database.


•         Perform collection development routines


•       Maintain the quality and condition of the collections (all resources at the reading room)

•       Gaps in the collections identified


2.      Programming Duties


●     Work with XGRR Operations Coordinator to develop plan and deliver Library and Museum programmes, special events and promotions for children and adults (e.g. such as story time for children, book clubs for teens or adults, or other educational or recreational activities).


•       Support the creation of the annual event calendar and running of the events troughout the year.




●     Take the lead in managing and developing customer-focussed services and programmes.


•       Training on customer service is quarterly delivered.

•       Support high standards of services with staff and volunteers

•       Feedback from the participants in all events are monitored and reported on.


●     Oversee the team of front-line volunteers


•       Volunteers are selected, orientated and trained;

•       Volunteers are actively supervised and supported through regular meetings and updates to volunteers;

•       Staff are supported in supervising volunteers

•       Volunteers are capable in performing their tasks to the required standards;


3.      Team Leading – Customer Service Duties


●     Ensure a good standard of customer care is maintained.

●     Assist with directional and other routine enquiries; help create visitor routes within the library and museum that flow smoothly, and are safe and secure for both visitors and staff.


•       A culture of excellent customer service is evident through feedback forms and informal feedback, and annual survey.

•       The team is supported in providing the highest standards of visitor care through monthly staff meeting.

•       No accidents within library or museum for staff and users


●     Collect visitor numbers and feedback and provide to operation co-ordinator


•       Customer satisfaction surveys are conducted annually under supervison of the Operations Coordinator.

•       Recommendation are provided to co-ordinator regarding changes to the current programmes.


●     Support the projects/business plan/financial and strategic plans of the Library and museum by demonstrating a commitment to teamwork and agreed objectives.


•       Actively offer suggestions, provides innovative ideas, provides feedback and solutions for improvement.

•       Plans and projects are evaluated and objectives achieved.

•       Able to deal with multiple priorities at any one time.

•       Confident at working with numbers and strong I.T. skills (particularly Excel,Word and power point)

•       Ready to work on Saturday and take back day off on onather day.





Desirable

●     Tertiary qualification in Library or Museum Studies or related area of study.

●     Experience of working in a library or museum setting

●     Experience of working in a busy visitor/customer services environment

●     Good English Language skills

●     Knowledge of Portuguese
